Golf Trip Captain is an independent, hobby-stage golf trip app operated as a personal project by Phil Thompson. Phil Thompson is responsible for the personal information described in this notice. It explains what happens when you visit the website, apply for the beta or use the current TestFlight app. Contact Phil about privacy at golftripcaptainsupport@gmail.com.
Visiting the website
Cloudflare hosts and protects this site. When you load a page, it processes information such as your IP address, browser and device details, requested pages and request times to deliver the site, maintain security and diagnose errors. Our lawful basis is our legitimate interest in operating and protecting the service. We do not place an advertising or third-party analytics tag on the website.
Applying for beta testing
The form asks for your first name, email address and whether you expect to organise trips, join as a player or both. We record when you agree to beta contact. We use these details to review applications and, if appropriate, contact you about TestFlight. Our lawful basis for beta contact is your consent. Applying does not guarantee an invitation. We do not add applicants to a general marketing list or make invitation decisions solely by automated means.
You may withdraw consent and ask us to remove your application at any time by emailing golftripcaptainsupport@gmail.com. Withdrawal does not affect processing already carried out. Cloudflare stores applications in a private database. Resend sends an alert email to our support inbox containing an application reference, not your submitted name, email or tester profile.
Using the TestFlight app
Trips, score history and captured scorecard photos are stored on your iPhone. A normal app update is designed to retain them; deleting the app may remove local data that has not been shared. Sign in with Apple supplies account identity. For shared trips, we process the player, round, group, Challenge and score information needed for invited golfers to participate. We process account and shared-play data to provide the features you request.
Course-card scans are read on the iPhone by default. An online reading request processes the selected image only when you choose that option. When a signed-in golfer confirms a complete tee, structured course details may be added to the user-verified course database; the photo and raw recognised text are not published through that route.
If you enable iPhone alerts, an app installation identifier and Apple push notification address are linked to your account for invitations, Challenge updates and round summaries. Lock-screen messages use a generic update notice. Turning alerts off disables registration; signing out or deleting your account removes it. Delivery attempts expire after one day and completed delivery records are removed after seven days. These identifiers are not used for advertising or tracking.
Location is optional and helps order nearby course results. The course service retains provider responses and daily counts of normalised club searches and tee lookups to measure coverage. These counts do not include an account or device ID; nearby-lookup counts omit coordinates. Nearby requests and retained response keys use approximate coordinates. The in-app inbox remains available if you decline Apple notification permission.
When you send an in-app support request, our private support service receives your message, reply email, app version and account link. Trips, scores and photos are not attached automatically. Support alert emails include a case reference and protected dashboard link rather than your message or reply address. Deleting your cloud account removes cases raised from that account and their queued alerts; emails already delivered to our inbox are separate.
Who processes the data
Cloudflare provides website delivery, security, the beta application database and parts of the app’s cloud service. Resend sends beta signup alerts. Apple provides Sign in with Apple, TestFlight and optional push notification delivery. We share data with these services only as needed for those purposes. Processing may take place outside the UK; where UK law requires transfer protection, we rely on the providers’ applicable contractual safeguards. Email us if you would like details of those safeguards. We do not sell your personal information.
How long we keep it
We automatically delete beta applications that have not been marked as invited 12 months after the last application submission or update, unless you ask us to remove them sooner. A re-application refreshes the stored details. Invited tester details are kept while needed to manage testing and are reviewed when testing ends. Delivered alert emails and provider security logs may follow their own retention schedules. Local app data remains on your device until you remove it; cloud data remains while needed for the account and shared features, subject to deletion requests and the specific alert periods above.
Cookies and similar technology
This website does not currently use optional advertising, personalisation or analytics cookies, and its pages do not load a third-party tracking script. Cloudflare may set security cookies, such as __cf_bm or cf_clearance, when bot protection or a security challenge is needed. These help protect the site and are used only where necessary for a secure service. Cloudflare says __cf_bm expires after 30 minutes of inactivity; a challenge clearance cookie lasts for its configured security period. You can remove cookies in your browser, though doing so may cause a security challenge to reappear. If we add optional tracking later, we will update this page and provide a choice before it is used.
Your choices and rights
You can ask for access to your personal information, correction, deletion, restriction or a portable copy where those rights apply. You can object to processing based on legitimate interests and withdraw beta-contact consent at any time. The app lets you remove local scans, sign out and request cloud-account deletion after fresh Apple authorisation. Send privacy or deletion requests to golftripcaptainsupport@gmail.com. We may need to confirm a request is from the right person before acting on account data.
If you are unhappy with our response, you can complain to the UK Information Commissioner’s Office. Please do not send passwords, Apple sign-in codes or payment details in a support request.
